GastroLotse by Desivo full guide

How GastroLotse by Desivo works

A complete, practical tutorial for owners, managers and teams—from the first setup to the daily operating rhythm, exceptions, reports and review.

Start here

One shared workspace for the whole shift.

GastroLotse by Desivo brings daily checks, temperatures, documents, reservations, stock notes and reports into one operating picture. It is designed to be used while the work happens—not filled in from memory at the end.

Owner

Sees the full business overview, manages people, settings, documents and reports.

Manager

Runs the shift, assigns work, checks reservations and keeps the operation moving.

Team member

Opens Today, completes assigned checks and records information while working.

What you need

One restaurant location, a responsible person, the team members who will use the app and the documents or checks you already work with.

What it does not do

It does not certify your business, make legal decisions or promise a control result. Your own procedures and responsible people remain the authority.

Before the first day

Set up the workspace once, then make it part of the routine.

The first setup is not about entering everything. It is about creating a small, reliable starting point that the team can actually maintain.

1

Create the restaurant profile

Enter the location, timezone, opening context and the people responsible for daily operations. Start with one real location so the workspace stays clear.

2

Invite the team

Invite owners, managers and team members with the smallest access level they need. Each person should use their own account so the history stays attributable.

3

Define the working checklist

Decide which opening, cleaning, temperature, stock and closing checks belong in the daily rhythm. Keep the list short enough to be completed during real work.

4

Add documents and deadlines

Keep training records, service documents, maintenance notes and other operational evidence together. Add the next review date where your process requires one.

5

Set your measurement context

Create the places and items you measure, such as a fridge, freezer or delivery. Use the target ranges defined by your own responsible person and procedures.

6

Confirm responsibility

Before the first live day, make sure everyone knows who reviews unfinished tasks, deviations, documents and the final report.

Every working day

The daily rhythm, from opening to review.

The app is most useful when each entry is made close to the event. That gives the next person a clear picture without adding a second paperwork shift.

1

Before opening

Open Today, review the assigned checks and record the opening status. Anything not completed remains visible instead of disappearing into a paper pile.

2

During service

Record temperatures, cleaning, deliveries, stock notes and corrective actions at the moment they happen. Add the context another person needs to understand the entry later.

3

Handover

The next person can see what is complete, what is still open and what needs attention. Use an assignment or note instead of relying on a verbal handover alone.

4

End of day

Review incomplete tasks, deviations and documents. The responsible person confirms the operational picture and decides what needs follow-up tomorrow.

5

Weekly review

Use the history and reports to spot repeated gaps, overdue documents and areas where the checklist or responsibility needs improvement.

Recording an entry

A good record answers four simple questions.

What happened? Where? When? What happens next? The exact fields depend on the area, but the principle stays the same.

1. Choose the area

Open Today, Temperatures, Documents, Goods or another area that matches the work you are doing.

2. Enter the observation

Enter the value, status, document, item or note. Keep the entry factual and add enough detail for a colleague to understand it.

3. Save or assign

Save a completed entry or assign the next action to the responsible person. Drafts help when the work is started but cannot yet be closed.

4. Review the history

Use the chronological history to see what happened, who recorded it and when. A correction is a new entry with its own context—not a silent rewrite.

Example

A temperature entry with useful context

Instead of only “6.2 °C”, record the measurement point, the time, the observed value and—if it is outside your own target range—the action and follow-up. The example demonstrates the structure; your responsible person defines the applicable limits.

When something is not right

Make the exception visible, assign the next step and keep the context.

A deviation is not a failure of the record. It is the moment when a clear record helps the team decide what to do next.

Describe what you found

Record the actual observation rather than only writing “not OK”. Include the item, place, time and the person recording it.

Document the action

Add the action your own responsible person has decided on, such as isolating an item, cleaning, rechecking or contacting a service provider.

Assign the follow-up

Give the next step to a named person and add a due time or date when your process requires it. Open work remains visible until it is reviewed.

Inside the app

Every area has a clear job—and they work together.

You do not need to use every area on day one. Start with the parts that match your operation and add more as the team builds confidence.

Today & tasks

The daily starting point for checks, assignments and completion status.

Temperatures

Capture readings for fridges and freezers, including exceptions and corrective actions.

Guests & reservations

Review incoming reservations, daily bookings and reservation history in one operational view.

Goods & stock

Keep purchasing, stock attention points, receipts and waste information close to the operation.

Documents & reports

Track training, hygiene and maintenance reminders, then export a concise inspection report.

Team & access

Invite people with the least access they need. Owners and managers keep control of sensitive areas.

Sales & growth

Review completed sales and, where connected, website traffic and listing readiness.

History and control

A chronological activity history makes it clear what was recorded, by whom and when.

Review and report

Turn the daily record into a useful review.

At review time, look for open work, repeated deviations, missing documents and unclear responsibilities. The report is a compact summary to support that conversation.

Prepare the report

Choose the relevant period and review the entries before exporting or sharing the summary.

Review with a responsible person

Use the report as a conversation aid. Confirm what needs action and who owns the next step.

Improve the routine

Remove checks that are not useful, clarify ownership and add detail only where it helps the team make a better decision.

Common questions

A few important answers before you begin.

Does GastroLotse by Desivo replace our own hygiene concept?

No. It gives your team a practical place to document and review work. Your business remains responsible for its own procedures, decisions and checks.

Can a team member correct an entry?

A correction should be recorded as a new entry with context. This keeps the history understandable instead of hiding what was changed.

What should we do first?

Start with one location, one responsible manager and the few checks your team already performs every day. Expand only after the basic rhythm works.

Can we export a report?

Yes. The report is a concise operational summary for your own review and preparation. Review its contents with the responsible person before relying on it.

Important boundaryUse the records to support your own procedures and review them with the responsible person in your business. GastroLotse by Desivo is documentation and inspection-readiness support—not legal advice, certification or a compliance guarantee.
